Who we are

Trim & Tally is a bookkeeping service operated by Allison Birch in Alberta, Canada. We handle personal information in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and Alberta's Personal Information Protection Act (PIPA), whichever applies.

Privacy contact

Allison Birch is responsible for privacy at Trim & Tally. Questions, access requests or complaints: [email protected].

This website

  • This site uses no cookies, analytics, advertising trackers or contact forms.
  • It is hosted on Cloudflare, which may process basic technical data (such as IP addresses) to deliver and protect the site.

What we collect, and why

  • When you email us: your name, email address and whatever you include, used to reply and prepare a quote.
  • When you become a client: business and financial records needed to do your bookkeeping (for example, bank and credit card statements, invoices, receipts, payroll summaries and GST information), plus contact and billing details.
  • We collect only what we need for the services you've asked for, and we don't sell or rent personal information.

Consent

By emailing us or engaging our services, you consent to us using your information for those purposes. You can withdraw consent at any time, subject to legal or contractual limits, though we may then be unable to continue the work.

Who we share it with

  • Your accountant or other people you ask us to work with.
  • The Canada Revenue Agency or other authorities, only when you authorize it (for example, GST filing) or the law requires it.
  • Service providers we use to do the work, such as your accounting software, our email provider, the secure client portal and automation tools: [list of providers and where they store data]. Some providers may store information outside Canada, in which case it may be subject to the laws of that country.

How we protect it

Sensitive documents are exchanged through a secure client portal rather than ordinary email attachments, and two-factor authentication is used on every system that holds client data. Access is limited to what's needed to do the work.

How long we keep it

We keep client records for as long as needed to provide the service and meet legal requirements. Canadian tax rules generally require business records to be kept for six years. After that, records are securely deleted or returned to you. [Confirm the retention period.]

Your rights

You can ask to see the personal information we hold about you, ask us to correct it, or ask questions about how it's handled, by emailing [email protected]. If you're not satisfied with our response, you can contact the Office of the Information and Privacy Commissioner of Alberta or the Office of the Privacy Commissioner of Canada.

Changes

We'll update this page if our practices change, and show the date of the latest update at the top.
